ARP Business Administrator

We are looking for a motivated, positive individual to join our award-winning team of young talented architects, involved in high profile projects with international reach. We are looking for someone who will help us transition into the next exciting chapters & grow together with the team!!

ARP Business Administrator

Responsibilities:

  • Give active support to the Creative leaders and team
  • Organize office operations, procedures (record keeping, etc), and special projects (ESPA, photoshoots, etc)
  • Responsible for preparing the annual budget for the office, planning the expenditures, and carrying out necessary corrections that may arise
  • Collaborate with tax and business consultants to develop and update the office financial objectives & prepare regular status updates
  • Prepare responses to RFQs/RFPs/RFIs
  • Prepare time schedules, fee and scope estimations with support from the Founder
  • Manage communications with clients for contracts, price negotiations and invoicing & provide support to visitors
  • Assist in market research, development of marketing material
  • Assist in press and social media management
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage schedules, calendars, appointments and bookings
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, office supplies inventory and errands
  • Coordinate with IT department on all office equipment
  • Ensure security, integrity and confidentiality of data

Requirements:

  • 1-3 years’ experience from position related to office management, administrative experience
  • Masters level degree in either business, finance, marketing or related field
  • Proficiency English (fluency in another language is a plus)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills and confidence
  • Attention to detail & problem solving skills
  • Proficient in MS Office
  • Knowledge of accounting, data and administrative management practices and procedures
  • Knowledge of business, finance and management principles
  • An understanding of architecture, building procedures and urban planning is recommended
