Reservations & Accounting Associate

Position requirements:

  • Accounting organization of supplier invoices
  • Accounts receivables, accounts payable organization
  • Guest payment check and organization
  • Assiting Reservations Partners with booking engines [Expedia, Booking.com, Hotelbeds, et cetera]
  • Opening and closing of availability, executing proper channel management
  • Checking daily, all online channels and extranets for accuracy of room and hotel. Cancellation policies, room amenities, min/max pax per room
  • Constant monitoring of accuracy of photos for both properties
  • Monitoring of pricing and increasing profit yield on accommodations – generating reports on monthly performance of sales, profit, average rate, yield, occupancy rate, competition rates
  • Constant research of local room pricing market, initiate promotions, SPOs
  • Cultivate strong negotiating skills with agents, partners, vendors and clients
  • Offering direction to FOM/ Front Desk on daily upsell opportunities [example, room upgrades, extended stays, return stays]
  • Assisting FOM & team with reallocating overbookings for successful resolution
  • Organizing and sending all agency invoices, with cooperation of accountant
  • Assist with tracking Agency payments and balances due
  • Assist in handling email accommodation complaints from agencies and clients
  • Thoroughly check payment deductions and disagreements by agents
  • Checking accuracy of booking.com and expedia.com commission amounts
  • Dispute any economic discrepancies with agents, engines, banks, guests
  • Follow up on special offers, EB payments and other past due payments
  • Reservation entry and checking of accuracy of reservations
  • Room allocation and daily changes
  • Manual availability adjustment when rooms are sold offline
  • Assisting Front Desk team/FOM, in solving client/room allocation problems
  • Occasionally assisting with check-ins during busy hours if ever necessary
  • Attending trade shows
  • Rooms and Hotel facilities – must have full knowledge of all rooms plus common areas upon hotel opening
  • Direct sales to on the spot guests, telephone calls, email requests
  • Create weekly reports on market rate analysis, average rate in house, sales by month, NRFs versus Flex
