BOD Secretary

Optimal HR Group on behalf of its client -Greek international FMCG, is looking to recruit a

BOD Secretary

for its Athens office, in order to provide administrative support to the CEO and the BOD.

The BOD Secretary is expected to act as Corporate Secretary to CEO and to the Board, covering all functions and be the point of contact and coordination of the executive office.

Responsibilities:

  • Maintains overall business ownership of all high-level management activities
  • Follows up with the Business Plan progress through constant reviews
  • Close and constant cooperation with Business Analyst for constructing of analyses and reviews
  • Prepares meetings´ timelines and agendas, as well as distributes meetings´ notifications and materials necessary for all Board/company meetings and Board calls
  • Follows up and coordinates in cases of subsequent updates or changes
  • Establishes excellent working relationship with the CEO, the BOD, Directors, as well as with the rest of organisation staff in all means of communication (electronic, verbal, written)
  • Coordinates regional teams according to the agendas
  • Creates mailing, presentations and reports for CEO and the BOD
  • Takes meetings minutes, distributes them and publishes them as appropriate and ensures that agreed progress is achieved
  • Provides data analysis as requested
  • Maintains a high level of confidentiality of all the discussions and information shared during meetings
  • Manages people and schedules with tact and poise

Requirements:

  • Bachelor´s degree in Business or relative studies is required
  • MBA is preferred
  • 1-year experience in a strong administrative position will be considered a plus
  • Strong technology skills
  • Advanced time management and organisational skills
  • English language is required, Spanish language will be considered a plus
  • Global and international mind-set and sensitivity to cultural norms is a must
  • Excellent customer service skills, understands urgent needs and acts proactively
  • Maintains positive attitude at all times and operates successfully under pressure
  • Ability to multi-tasking and deal with multifaceted board members
  • Takes ownership of requests and resourceful
  • Frequent international travel
