αρμοδιότητες:

As an Executive Assistant, you will be responsible for:

  • Manage and maintain managers schedules, appointments and travel arrangements
  • Arrange and co-ordinate meetings and events. Support in planning agendas
  • Proactively prepare/print/collate all relevant meeting materials 
  • Record, transcribe and distribute minutes of meetings
  • Receive and interact with external stakeholders
  • Liaise with internal employees at all levels
  • Handle sensitive and confidential material; maintaining strict confidentiality and data privacy standards at all times 
  • Ensure professional travel management for the Executive Team members including travel, hotel and transport booking, travel expenses and visa procurement
  • Create detailed travel itineraries 
  • Ensure a visa procurement process for all employees in
  • Overall responsibility for all matters related to the office and future premises to guarantee a functional office within its entire infrastructure. This includes but is not limited to:
  • Documenting office expenses and managing the budget
  • Choosing office suppliers and negotiating terms
  • Ensuring that the offices are kept in a professional condition
  • Initiating repairs when needed within the offices 
  • Arrangement and management of office events/conferences
  • Professional arrangement of meetings
  • Office related projects (e.g. office moves/smaller renovations)
  • Establishing and monitoring procedures for record keeping of all original legal agreements and documents 
  • Responsible for all administrative handling related to legal matters under the accountability local management specifically in relation to BOD assignments and name changes of legal entities
  • Publish announcements of any changes in close cooperation with global comms
  • Be the local contact person for global comms and be part of the global communications team

προσόντα:

The successful candidate for this Executive Assistant position should have:

  • 2 - 4 years’ experience in similar positions
  • Bachelor's Degree 
  • Excellent command verbal and written in the English language
  • Further Languages are a plus
  • Excellent PC skills
