PA to Management Team

We are looking for a Personal Assistant, based at our site in Neohorouda - Oreokastro, Thessaloniki.

Role description:

Are you serious about supporting others?

We are looking for an exceptional Personal Assistant to assist our managing team.

Working with leaders across the business, you will have impeccable front-of-house etiquette & communication skills.

Able to manage shifting priorities, whilst maintaining accuracy, you will remain positive at all times. Whilst carrying out any administrative task, you will meticulously search out & rectify errors in order to perfect systems & procedures, maximising productivity.

Remaining calm under pressure, you will approach demanding situations in an accommodating & diplomatic manner, providing practical solutions to any problem. As a self-motivated individual, you will possess excellent negotiation skills & be able to build stable relationships based on mutual trust.

The successful candidate will be highly organised to meet tight deadlines & must possess superlative diary management & meeting scheduling skills.

Previous PA or secretarial experience is essential but not necessary.

Minimum requirements:

  • Bachelor's degree
  • 5 years of experience in similar positions
  • Expert knowledge in MS office, Outlook, Excel, PowerPoint etc.
  • Quick learner, Fast Acting & always able to read between the lines
  • Multitasking under pressure

Desirable skills requirements:

  • Excellent communication skills - interacts confidently & effectively with senior business leaders & staff at all levels, both verbally & in writing
  • Responsible for own work & for supporting the Managers with their workload e.g. handling all administration & providing support & advice on day-to-day issues
  • Maintains relationships with peers across all departments but able to handle confidentiality (not gossiping)
  • Must operate within an ever-changing environment as well as dealing with both routine & non-routine problems. The issues are often sensitive so require considerate handling in order to resolve them satisfactorily
  • Confident in managing several projects simultaneously, prioritising where necessary
  • Works efficiently under pressure
  • Objectives & tasks in the role are often short-notice & high priority

Job responsibilities:

  • Be a great ‘front-of-house’ ambassador for the business - delivering professional email communications & greeting guests enthusiastically
  • Account Management support for the business Top 5 key accounts/customers
  • Complete management of diaries with a forward view of at least 6 weeks out to ensure that daily schedules run to time & personal appointments/events are considered
  • Proactively organise rooms, equipment etc., & all other arrangements to ensure meetings run well. Prepare agendas, oversee distribution of paperwork & follow up on actions
  • Deal with diary changes & matters arising during the working day – including over-running meetings or other challenges – in a proactive manner, including rearranging travel or contacting other attendees
  • Aid with creation of reports & presentations as required - Advanced PowerPoint/word skills & creative judgement. Strong eye for detail
  • Arrange domestic & international travel, & restaurant/venue bookings
  • Process expenses & departmental invoices as required
  • Arrange away days/overnight events – both client-facing & internal from end-to-end including all liaison with external partners, managing invitations & ensuring the smooth-running on the day
  • Provide support as directed for Account Management processes
