Job summary

We are seeking a Mid-Senior level Accountant Accounts Payable to join our team in Athens, Greece. This on-site position plays a crucial role in maintaining the financial integrity of our organization by managing accounts payable processes and ensuring timely and accurate payments to our vendors and suppliers.

As an Accountant Accounts Payable at WayMore, you will be responsible for validating invoices, processing payments, and maintaining accurate financial records. This role requires a detail-oriented individual with strong analytical skills and a thorough understanding of accounting principles and practices.

The on-site nature of this position allows for close collaboration with our finance team and other departments, fostering a cohesive work environment and enabling efficient communication. You will be expected to work from our office located at Leof. Kifissias 6-8, Athina 151 25, Maroussi, Athens, Greece, during regular business hours, Monday through Friday.

Key responsibilities

• Manage the full cycle of accounts payable processes, including invoice processing, payment scheduling, and vendor communications.
• Validate and verify invoices from providers, ensuring accuracy and compliance with company policies and procedures.
• Reconcile vendor statements and resolve any discrepancies in a timely manner.
• Maintain and update the accounts payable ledger, ensuring all transactions are accurately recorded.
• Prepare and process payment runs, including checks, wire transfers, and electronic payments.
• Assist in month-end and year-end closing procedures related to accounts payable.
• Collaborate with other finance team members to ensure smooth operations and accurate financial reporting.

Daily tasks

• Review and process incoming invoices, ensuring all necessary approvals are obtained.
• Enter invoice data into the accounting system, verifying accuracy of coding and amounts.
• Respond to vendor inquiries regarding payment status and resolve any issues.
• Prepare and process daily or weekly payment batches as per company schedule.
• Reconcile vendor statements with internal records to identify and resolve discrepancies.
• Maintain organized files of all accounts payable documents, both physical and digital.
• Generate and distribute various accounts payable reports as required by management.

Essential duties and responsibilities

• Validate invoices originated from providers, ensuring accuracy, completeness, and compliance with contractual terms.
• Process and code invoices in the accounting system, adhering to company policies and procedures.
• Manage the accounts payable aging report, identifying and addressing overdue payments.
• Coordinate with other departments to obtain necessary approvals for invoice processing.
• Prepare and process vendor payments through various methods, including checks, ACH, and wire transfers.
• Reconcile vendor statements and investigate discrepancies, working with vendors to resolve issues.
• Maintain accurate vendor records, including contact information, payment terms, and tax documentation.
• Assist in the preparation of monthly, quarterly, and annual financial reports related to accounts payable.
• Participate in internal and external audits by providing necessary documentation and explanations.
• Implement and maintain internal controls to ensure compliance with accounting standards and company policies.
• Monitor and track prepaid expenses, ensuring proper allocation and amortization.
• Collaborate with the procurement team to ensure accurate receipt of goods and services before processing payments.
• Assist in the analysis of accounts payable data to identify trends, opportunities for cost savings, and process improvements.
• Support the implementation and maintenance of accounts payable software and systems.
• Contribute to the development and documentation of accounts payable policies and procedures.

Qualifications

• Bachelor's degree in Accounting, Finance, or related field
• 8-10 years of overall working experience, with 4-6 years of specific experience in accounts payable roles
• Previous experience working in medium-sized businesses (49-249 employees) preferred
• Strong knowledge of accounting principles, particularly in accounts payable processes
• Proficiency in using accounting software and ERP systems
• Excellent attention to detail and high level of accuracy
• Strong analytical and problem-solving skills
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment
• Excellent communication skills, both verbal and written, in English and Greek
• Strong organizational skills and ability to maintain accurate records
• Proficiency in Microsoft Office suite, particularly Excel
• Knowledge of Greek tax regulations and compliance requirements related to accounts payable
• Experience with electronic payment systems and banking platforms
• Ability to work independently and as part of a team
• Strong ethical standards and commitment to maintaining confidentiality of financial information

Required software knowledge

• Advanced proficiency in Microsoft Excel for financial analysis and reporting
• Experience with ERP systems such as SAP, Oracle, or NetSuite
• Familiarity with accounts payable automation software (e.g. Concur, Coupa, or Tipalti)
• Knowledge of document management systems for invoice processing and storage
• Experience with financial reporting tools (e.g. Tableau, Power BI)
• Proficiency in using online banking platforms for payment processing
• Familiarity with OCR (Optical Character Recognition) technology for invoice processing

Good to have:

• experience in Greek-specific accounting software (e.g. Softone, Entersoft)
• knowledge of data analysis tools such as SQL or Python for financial data manipulation
• familiarity with cloud-based accounting platforms (e.g. Xero, QuickBooks Online)
